1) Summer Booking Procedure
Preliminary Reservation
From September to 28 February, the Agent can request an allocation of up to 15 places for each centre and period. Larger allocations may be granted. No payment is due.

Extending Your Allocation
After 1 March, allocations may be extended at PLUS’s discretion for a limited period, subject to availability.

Reducing Your Allocation
Agents have the right to reduce the size of their group bookings and to retain the corresponding deposits under the following conditions:
  • Each month, the size of a group booking may be reduced by up to 10% from the current total.
  • Only one reduction is permitted per calendar month.
  • This adjustment is allowed up to 30 days before the scheduled departure date.

2) Payments
Deposits
To convert the allocation into a cofirmed booking, the Agent must pay a non-refundable deposit for each place retained as follows:
UK centres: £150 per place
USA & Canada: $150 per place
Malta, Spain & Ireland: €150 per place
Payment must reach PLUS’s account by the expiration date specified in the Agency Area and in your booking activation email. Upon receipt of the deposit, PLUS will confirm the booking.
 
Second Payment
In addition to the deposit, the Agent must pay 20% of the total Pro-forma Invoice value 90 days before the arrival of each Group. This amount will be deducted from the final balance. 
The Pro-forma Invoice, accessible via the Agency Area, is issued for indicative purposes only and is not a Final Invoice. It reflects provisional booking numbers and excludes supplementary services such as Add-Ons, Top-Ups, and Airport Transfers.

Final Payment
Once the booking is finalised, PLUS’s Finance Department will issue the Final Invoice and send it by email. The outstanding balance must be paid by the due date stated on the invoice and, in any event, no later than 30 days prior to the students’ arrival.
3) Cancellations
Cancellations must be communicated via email, including the booking reference, and will incur the following penalties based on the timing of the notice.

Penalties are calculated based on the full course price. If any cancelled places are resold, a credit will be applied to the Agent’s subsequent bookings. 
Note: At some centres, host institution accommodation policies differ from standard PLUS terms and earlier confirmation of passenger numbers is required. Numbers may be increased later, subject to availability. Reductions after the fixed dates below may incur charges of up to 100% of the accommodation cost.

4) Pre-Arrival Information
All final group details and participant lists must be completed in the PLUS system no later than 30 days before arrival. This enables our team to confirm services and prepare the programme effectively. For further details, please refer to our Booking Policies available in the website footer.

Adherence to both payment schedules and information deadlines is critical to ensure a high-quality experience for all participant. Delays in payment or data submissions may result in service changes, cancellations, or the loss of preferred services for reasons beyond our control.
5) Insurance
The Agent shall, at their own expense, ensure that suitable travel insurance is in place, covering programme participation, any inability to attend or continue a course, and any possible additional costs arising from events beyond PLUS's reasonable control.

Upon request, PLUS may assist the Agent in arranging insurance as an additional service. Any such assistance does not remove or reduce the Agent’s responsibility to ensure that adequate insurance cover is in place.
